This document describes the privacy policy of Bethany Hall Sunday School, Gourock, revised 21st August 2018.

1.       Where we collect your personal information

The information we hold on you and your child is the information you supply to us on the consent form issued to your child at the start of each session. We also record attendances at the Sunday School.

2.       What information we collect

The information collected consists of your child’s name, address, date of birth, emergency contact number(s), special needs, and your consent. We also keep attendance records, records of any accidents or incidents, and may additionally keep records of points, prizes, etc. gained by your child.

3.       Who we share your personal information with

The information we collect is not normally used or shared outside of the Sunday School (and workers thereof). On occasion some information may be shared with other activities of Bethany Hall (e.g. the 6.3.5. Club, or church elders). Information is never passed on to third parties (i.e. outside of Bethany Hall), unless we are legally or ethically required to do so. We are happy to work with parents/guardians to further restrict sensitive information if required.

4.       On what basis we use your personal information

The primary basis for using your information is your consent. This means that you have the right to withdraw your consent and have your information deleted (please refer to our data retention policy). Some information we hold is necessary to ensure the safety of your child in our care; asking us to delete the information we hold would mean the removal of the child from the Sunday School.

5.       What we use your personal information for

Information we hold is used primarily to ensure that we have adequate contact information in cases of emergency, that we have an understanding of the needs of your child, and that we can keep you and your child informed of relevant activities, cancellations & etc. (including notifying you of the start of the next session). If you give us a mobile phone number we may occasionally text you (SMS).

6.       Photographic images

We do not normally take photographs or videos at the Sunday School, however we do not outlaw the casual appropriate use of cameras by workers or by children. We would always seek permission before publishing any photographic image.

7.       How long we retain your information

Generally your information will be available for our use for two years after you provide it. Please refer to our data retention policy for further details.

8.       Obtaining your personal information and/or withdrawing your consent

You can initiate a request for a copy of the information we hold about you and your child and/or to withdraw your consent to us holding that information by contacting us (a) by email to info@bethanyhallgourock.org.uk, (b) by letter brought to the Sunday School or (c) verbally to one of the Sunday School teachers. In all cases we would seek proof of your identity before proceeding further.
